Managed AI operations for law firms
A private AI staff
member for your firm.
It lives in Slack, Teams, SMS, and email. You text it like you’d text your paralegal. It drafts the documents, captures the after-hours leads, answers the “any update?” messages, and watches your deadlines. You review. Live in 7 days.
Private server per firm · Your data never leaves your firm · 100% setup refund if no value by Day 30

Lives where you already work
Integrates with your tools
The cost of waiting
Doing nothing isn’t free.
Standing still is billed quietly, in leads that slip away, hours lost to work a machine could do, and clients who drift to faster firms. The firms that put AI to work are already pulling ahead.
Missed leads
Every after-hours inquiry that goes unanswered is a client who found someone else. They don’t leave a voicemail. They text the next firm.
Lost hours
The repeatable drafting, intake, and lookups that fill your day are the easiest work to automate, and the most expensive to keep doing by hand.
Slow communication
The top client complaint isn’t outcomes. It’s not hearing back. Every “any update?” that waits chips away at the relationship.
PracticeOps turns the cost into capacity.
See what your agent could do →What you get
A managed service, not another piece of software.
You never install anything, configure anything, or write a prompt. From your perspective, you have a new staff member you text.
One staff member the whole firm can text
Reachable through Slack, Teams, SMS, iMessage, or email. Attorneys, paralegals, and support staff all talk to it the same way. No per-seat fees, no software to learn.
Your data lives in one place: yours
Provisioned and managed by us, owned by you. Never pooled with other firms, never used to train anyone’s AI.
First custom workflow in a week
We scope one high-impact automation with you and ship it live by Day 7. Not a demo. Real work.
Two new workflows, built for you
Bring it up at your weekly check-in. We build and deploy it to your agent within the month.
Connected to the tools you run on
Clio, MyCase, Filevine, PracticePanther, Smokeball, plus your calendar, email, and document storage.
You never troubleshoot
Weekly check-ins, a Friday digest of what shipped, and support that fixes problems for you. You just text us.
What your agent can do
Starting points, built specifically for your practice.
These are examples. Once your agent is live, you can ask for any of them, and the ones that move the needle for your firm get built, deployed, and refined over time.
Employment law
- Draft demand letters for wrongful termination, wage, discrimination & harassment from a structured intake
- Generate EEOC charge support documents from a fact pattern
- Draft separation agreement first drafts from your templates
- Track filing deadlines and statutes of limitations
Civil rights
- Draft §1983, Title VII, and ADA demand letters
- Generate FOIA requests on demand
- Prepare administrative complaint drafts (EEOC, state agencies)
- Track government response deadlines
Immigration
- Auto-fill standard USCIS forms (I-130, I-485, I-589, I-751) from intake
- Draft Requests for Evidence (RFE) responses from the case file
- Send clients automated status updates as cases progress
- Qualify and route inbound requests in the client’s language
Personal injury
- Generate medical chronologies from records you upload
- Draft initial demand packages with damages calculations
- Track lien holders and reduction negotiations
- Send clients case-status updates without paralegal lift
Family law
- Run intake conversations for new prospects
- Generate first drafts of financial affidavits from intake
- Send hearing reminders to clients
- Draft routine motion templates
Any practice
- Capture inbound leads 24/7 and book consultations on your calendar
- Answer “any update on my case?” with the latest authorized status
- Look up matter info on demand (“when is the Smith hearing?”)
- Pre-fill retainers and watch deadlines before they bite
How it works
You never see infrastructure. You text. It works. You review.
You text it
Message your agent the way you’d text a paralegal. It does the thing, asks a clarifying question, or tells you it can’t and why, using your calendar, matters, and templates for context.
We build & run it
Want something new? Mention it at your weekly check-in. We build the workflow, deploy it to your server, and maintain it. You never configure or troubleshoot anything.
You review
Every output that touches a client or opposing party is reviewed by you before it goes out. Your name is on the work product. Your judgment is what makes it legal work.
Day 7
Your first custom workflow is live and doing real work.
Weekly
A 30-minute check-in, plus a Friday digest of what shipped.
Monthly
Two new workflows built and deployed to your agent.
Privacy & ownership
Built around the realities of law practice.
Confidentiality, privilege, conflicts, and your state’s bar rules aren’t bolted on. The architecture is built around them.
- Your data stays on your server. It is never duplicated, mirrored, pooled with other firms, or used to train any AI model.
- We access your server only with your written, per-session authorization. Every access is logged and available to you.
- Your workflows belong to you. If you ever leave, they stay on your server and keep working, with no clawbacks.
- Leave any time with 30 days’ notice. We remove our access within 48 hours. Your server, agent, and data stay with you.
- We support your ABA Opinion 512 and state-bar compliance with technical documentation.
- The agent never gives legal advice. It drafts, retrieves, and routes. You review, and your judgment is the legal work.
Who’s building this
Fabio Varens
Founder
I work with law firms on marketing and operations. PracticeOps came out of repeated conversations with attorneys trying to automate their own work and getting stuck. I built the service those attorneys actually wanted: done-for-you AI infrastructure that doesn't require you to become a software engineer.
“Lawyers don’t need another tool to operate. They need someone to run the operations for them. That’s what PracticeOps is.”

FAQ
What lawyers ask before they book the call.
From data safety to bar rules to what happens if you leave. The honest answers.
Is my client data safe?+
Your data never leaves your firm’s private server. We don’t store it, replicate it, pool it with other firms, or train AI models on it. We access your server only with your written, per-session authorization, and every access is logged.
Is this legal under bar rules?+
The architecture is designed to support your compliance with ABA Formal Opinion 512 and your state’s AI ethics guidance. The agent never gives legal advice. It drafts, retrieves, and routes, and you review everything before it leaves your firm. We provide technical documentation supporting your compliance posture.
What does "managed" actually mean?+
We handle everything technical. You never install anything, configure anything, learn new software, or write a prompt. From your perspective, you have a new staff member you text. When something breaks, you don’t troubleshoot. You text us and we fix it.
Does it integrate with my practice management software?+
We have built-in integrations for Clio, MyCase, Filevine, PracticePanther, and Smokeball, plus your calendar, email, and document storage. If you use something else, ask us. Most modern systems can be integrated.
What counts as a "workflow"?+
A specific automation your agent performs. For example, "draft a demand letter from a structured intake" or "respond to client status inquiries with the latest authorized update." Two are included every month in your retainer; additional ones are $600 each.
What if I leave?+
Thirty days’ written notice. We remove our access to your server within 48 hours. Your server, your agent, your workflows, and all your data stay with you. No clawbacks, no holds, no penalties.
How long does it take to see ROI?+
Your first workflow is live by Day 7. Most firms see direct time savings within the first two weeks and measurable revenue impact, usually through better lead capture or faster client communication, by the end of month one.
Can my entire team use it?+
Yes. Your agent is firm-wide. Attorneys, paralegals, and support staff can all use it through your messaging platform. There are no per-seat fees.
Our promise
If by Day 30 your firm isn’t getting meaningful value from your PracticeOps agent, we refund 100% of your setup fee.
We set the scope on Day 1, agree to the acceptance criteria with you, and hit them by Day 7. If we don’t, that’s on us, not you.
